AD0-E903 Adobe Workfront Project Manager: Legacy Exam and Current AD0-E911 Path

AD0-E903 is a retired Adobe Workfront Project Manager Professional exam. Adobe’s own certification page states that new registrations for AD0-E903 are closed and recommends the newer AD0-E911 Adobe Workfront Project Manager Certified Professional exam. Candidates should therefore treat AD0-E903 as a historical Workfront project-management reference and use AD0-E911 for the current credential path.

The role remains recognizable even though the code changed. A Workfront project manager needs to understand intake, planning, object hierarchy, permissions, tasks, dates, milestones, approvals, resources, workload, risks, documents and proofs, reporting, dashboards, financial information, status, closeout, and collaboration. The exam is about applying Workfront to the flow of work rather than memorizing isolated menu locations.

Start With the AD0-E911 Transition and Current Role Scope

The current AD0-E911 blueprint weights Intake and Planning at 40%, Execute at 50%, and Closeout at 10%. That makes the lifecycle itself the best study framework. Older AD0-E903 content maps reasonably well to the same broad work process, but the current page should control exam identity, weighting, feature wording, and scheduling.

The broader Adobe certifications inventory provides product-program context, but Workfront project management is primarily an operational workflow role. Candidates are expected to understand how requests become planned work, how planned work becomes execution, and how data from execution becomes stakeholder reporting and closure.

A useful companion is the broader definition of project-manager responsibilities. Workfront does not replace planning, prioritization, communication, risk management, or stakeholder judgment; it gives those practices a structured system of record.

Control Intake Before Work Becomes a Project

Work begins with requests. Candidates should understand queues, request forms, custom data, notifications, routing, permissions, and the decision to convert or reject incoming work. A weak intake process creates incomplete projects downstream because required business context was never captured.

Custom forms are particularly important because they turn informal requests into structured data. Fields should collect information needed for prioritization, assignment, reporting, or governance without overwhelming requesters. The project manager needs to know where that data lives after conversion and how it can be surfaced in reports or dashboards.

Queue topics and request routing should reflect how the organization actually works. If every request enters one undifferentiated queue, project managers spend time manually rediscovering information that the intake design could have captured. If the structure is too granular, requesters may not know where to submit work. The useful design balances clarity for requesters with enough structure for reliable routing and reporting.

Intake also involves triage. Not every request should become a full project. Some may become issues, tasks, recurring operational work, or rejected requests. Candidates should reason from the requested outcome and organizational workflow rather than defaulting to the largest object type.

Plan With Object Hierarchy, Dates, Dependencies, and Constraints

Workfront’s object relationships are foundational. Programs, portfolios, projects, tasks, issues, users, teams, groups, documents, and custom forms occupy different positions in the data model. Candidates should know which object owns which information and how changes at one level affect reporting and execution at another.

Task planning requires duration, planned dates, predecessors, constraints, assignments, and milestones. Different task constraints can change how Workfront recalculates the schedule, so candidates should understand the difference between expressing a genuine business constraint and accidentally preventing the system from adjusting a plan.

Templates can standardize recurring project structures, but candidates should understand that a template is a starting model rather than a substitute for planning. Task durations, dependencies, role assignments, milestones, custom forms, and approvals still need to fit the specific work. Poor templates simply reproduce bad assumptions more quickly.

Dates also communicate different meanings: planned, projected, actual, commit, and other date types should not be treated as interchangeable. Strong preparation uses a changing project schedule and asks what each date says about plan, forecast, and reality.

Manage Risk, Scope, Approvals, and Change During Execution

Execution is not simply marking tasks complete. Project managers need to monitor risks, issues, approvals, change management, dependencies, resource conflicts, and status. Workfront provides structured places for this information, but the project manager still decides which changes require escalation and how the project baseline or stakeholder expectation should respond.

General project risk management is useful where the Workfront process records and communicates uncertainty. A risk should have meaningful probability, impact, ownership, and response information rather than existing as an unmaintained list.

Milestones provide another governance signal. They help communicate progress against important stages without requiring every stakeholder to interpret the full task plan. Candidates should understand that milestones depend on meaningful project structure; attaching milestone markers to poorly planned tasks does not create reliable status information.

Approvals add governance. Candidates should understand when an approval is in progress, how it affects work, and how document proofing or review differs from a project-level status decision. Overcomplicated approval chains can become bottlenecks, while missing approvals can create audit or quality problems.

Balance Resources With Workload and Assignment Evidence

Workfront project managers need to know who is assigned, whether work is realistically distributed, and where capacity constraints threaten dates. The Workload Balancer and assignment views help reveal over-allocation, but good decisions still depend on understanding availability, role fit, priority, and the difference between planned work and real effort.

Workload decisions should consider planned hours and role availability alongside schedule impact. Assigning a qualified person who is already overloaded can create projected delays even when the task is technically staffed. The project manager should use Workfront evidence to negotiate priority, timing, or staffing rather than treating resource assignment as a binary filled-or-unfilled field.

Teams and groups serve different organizational purposes. Teams can support work assignment and collaboration, while groups often reflect organizational structure, governance, or configuration boundaries. Candidates should know which object is appropriate rather than treating both as interchangeable collections of people.

Resource changes should preserve accountability. Moving work from one person to another can affect notifications, workload, planned hours, and reporting. A project manager should verify the schedule and downstream metrics after reassignment instead of assuming that changing the assignee is the only necessary step.

Use Reports and Dashboards to Answer Operational Questions

Reporting is a major part of both AD0-E903 and AD0-E911. Candidates should understand report object types, filters, groupings, views, prompts, calculated or derived fields where applicable, and dashboard composition. More importantly, they should know which report answers which management question.

General dashboard and KPI design becomes useful when deciding what to show stakeholders. A dashboard overloaded with every available metric is less useful than one that clearly shows schedule health, overdue work, resource pressure, risk, approval status, or delivery progress for a specific audience.

Reporting permissions also matter. A perfectly designed report is useless or unsafe if the intended viewer cannot access the underlying objects or can see data that should be restricted. Candidates should understand the interaction between sharing, access, and report results when designing stakeholder views.

The same principle applies to project performance reporting: reports should support decisions. Candidates should practice translating a stakeholder question into the correct object, filter, grouping, and visualization instead of memorizing report-builder controls in isolation.

Understand Financial, Status, and Closeout Signals

Workfront contains financial and progress information that project managers use to understand plan versus actual behavior. Candidates should know where costs or planned variance appear, what project condition and progress status communicate, and how Gantt relationships reflect schedule structure. The point is to interpret the signal correctly, not merely locate a field.

Documents and proofs are part of execution evidence, especially for creative or review-heavy work. Candidates should distinguish storing a document, generating a proof, collecting review comments, and moving an approval forward. These functions support traceability when a deliverable changes across several review cycles.

Closeout includes status transitions, remaining issues, final deliverables, approvals, reporting, and measures of project success. A project should not be marked complete while important objects remain unresolved or stakeholders lack the information needed to accept the outcome.

Good closeout also improves future work. Actual durations, effort, risk outcomes, and process bottlenecks can inform templates and planning assumptions. Workfront becomes more valuable when teams use completed project evidence to improve the next intake and planning cycle.

Prepare With Lifecycle Scenarios Rather Than Interface Memorization

The best transition from AD0-E903 material to AD0-E911 is scenario practice across the lifecycle. Receive a request, inspect custom data, choose the right object, assign permissions, build a project schedule, set dependencies, assign resources, respond to a risk, route an approval, report progress, rebalance workload, and close the work correctly.

For each scenario, ask which Workfront object owns the information, what change the system will calculate automatically, what requires project-manager judgment, and which report would prove the outcome. This builds a model that survives interface changes because it is based on the work system rather than navigation memory.

AD0-E903 remains useful for understanding the earlier version of the Workfront project-manager role, but the current certification path is AD0-E911. Keeping that status explicit allows older notes to support learning without misleading candidates about the exam Adobe now offers. The current AD0-E911 blueprint should remain the final reference whenever older Workfront terminology or weighting conflicts with the active certification page.
